New Check-In Alert Options

Clients can now set up and configure additional check-in alerts for Online Check-in! The following alerts are now available to notify staff of potential account issues at the time of check-in:

  • Missing Member Photo

    • Allows the club to deny access or display a warning if the member does not have a photo on file in the system

  • Recent Check-in

    • Allows the club to deny access or display a warning if a check-in occurred within a specified window. If no custom window is entered, 6 hours will be used.

  • Expired Membership Payment

    • Allows the club to deny access or display a warning if the membership payment method is expired.

  • Expired Add On Payment

    • Allows the club to deny access or display a warning if the add on payment method is expired.

  • Expiring Membership

    • Allows the club to deny access or display a warning if the account holder’s membership is expiring within a designated number of days. If no custom window is entered, 30 days will be used.

These new alert options are available within Settings > Client Preferences > Check-in > Alert Settings

For each type of notification, users can define how they would like to be notified when an account checks in with the issue, options are:

  1. No Alert / Allow Entry - This setting will allow entry to the club and include audio indicating a successful check-in

  2. Allow Access with Warning - This setting will allow entry to the club and include audio indicating a successful check-in but will display a yellow warning notification on the screen notifying staff of the issue.

  3. Deny Access - This setting will deny entry to the club and include audio indicating a problem check-in. A red error notification will be shown on the screen notifying staff of the issue.

    1. For customers using Passport, door access will not be granted

    2. For customers using Online Check-in, employees are responsible for notifying the member of the issue and resolving it. Once any issues are resolved, the member should be checked in a second time to ensure no additional issues are present and the successful check-in is logged.

Additional Online Check-In Alerts

The following alerts are always enabled in Online Check-In and cannot be manually configured at this time:

 

Past Due

If a member has unpaid dues or add-ons that are past due, a problem alert will be shown at the time of check-in. An alert of 'PAST DUE' will be displayed

  • By default, the following rules determine if an account is past due:
    • For accounts billing with a Credit Card or EFT on file, when the account’s membership dues or add-on payment's due date is in the past, the account will not be considered past due until after automated payment collection has been attempted. This will prevent members with due dates that fall on holidays or weekends from being considered as past due until normal billing has resumed.
    • Accounts that are billing on Statement, and with a next due date in the past (earlier than the current date) will always be considered past due as they are not included in automated billing. 
  • Optionally, Clubs can define a grace period setting, for more information on the grace period setting refer to this help article.
    • If a grace period is set and the member's past due is within the grace period, a warning will be displayed and access will be granted. 
    • If no grace period is set (blank or zero) or the member is beyond the grace period, the member will be denied entry to the club based on the default past-due rules.

 

Location Access

  • If a member does not have access to the location that they are checking in at, access will be denied.
  • An alert of 'SINGLE CLUB ONLY' will be displayed

 

Inactive Membership alerts

  • If a member does not have a valid membership (canceled, returned, expired), access will be denied.
  • The alert shown in check-in will indicate the issue with the account. For example, EXPIRED, CANCELED, or RETURNED.

Frozen Access

  • If a member's account access is frozen due to an access freeze, access will be denied.
  • An alert of 'FROZEN' will be displayed
