Active Member Attendance Summary Report

The Active Member Attendance Summary Report displays all members with an active agreement, regardless of attendance, along with recent and lifetime attendance information. This is available for all clubs.   

Data Selections

  • From Date: the report content for Total Classes and Total Club Check Ins is limited to those on and after this date
  • To Date: the report content for Total Classes and Total Club Check Ins is limited to those on and before this date

Data Filters

  • Category: the report content for Lifetime Classes and Total Classes is limited to those selected
  • Event Type: the report content for Lifetime Classes and Total Classes is limited to those selected
  • Series: the report content for Lifetime Classes and Total Classes is limited to those selected

Data

Each row of the report represents an active member on an account with an active contract status. "Active" contract status includes: 

  • (A) Statement – Term
  • (B) Statement – Open End
  • (V) Credit Card – Term
  • (I) Credit Card – Open End
  • (E) EFT – Term
  • (F) EFT – Open End
  • (Z) Cancel Pending
  • (P) Paid in Full accounts are included if the expiration date is today or in the future OR if a renewal is present

Columns

  • Club: the ID of the client where the membership exists
  • Member ID: the ID of the member (account number and member sequence number)
  • Member First Name: the member's first name 
  • Member Last Name: the member's last name
  • Account Number: the number for the member's membership/account
  • Email: the member's email address 
  • Phone: the phone number of the buyer on the account
  • Initial Join Date: the start date of the oldest agreement of the member's membership/account
  • Contract Expiration: the end date of the latest agreement of the member's membership/account
  • Lifetime Classes: the total number of classes the member checked into since their initial join date; limited by filters if selected 
  • Total Classes: the total number of classes the member checked into based on date range; limited by filters if selected
  • Last Class Attended: the date and time of the most recent class the member checked in
  • Lifetime Club Check-Ins: the total number of times the member checked into the club since their initial join date (attendance count)
  • Total Club Check-Ins: the total number of times the member checked into the club based on date range selection (attendance count)

Data Summary

  • Record Count: the count of records returned in the report after filters are applied
  • Total Classes: the sum of total classes members have checked into based on report data
  • Total Club Check-Ins: the sum of total check-ins by members based on report data

Usage Tips

  • Identify sleeping members using a date range selection that matches the club's "sleeping" definition and sorting on Total Club Check Ins to view members with 0 check ins
  • Identity potential at risk new members using a date range of the past 30-60 days and sorting on Initial Join Date to view attendance of recently joined members - new members with low engagement are more at risk to churn 
  • Identify member check in milestones using Lifetime Classes or Lifetime Club Check-Ins

Campaign automation using Club OS CRM

  • Reach out to new members with low engagement who may be at risk of churning 
    • Set up a drip campaign to send based on a number of days without a check-in (example: send to members who haven't checked in in 30 days)
  • Reach out to members achieving milestones 
    • Set up a drip campaign to send based on time in status and filter recipients based on check-ins (example: send to members on the 100th day of their membership, only if they've checked in greater than 10 times between 1 and 30 days ago)
  • Reach out to members with high engagement (high check-ins) to be champions for the club
    • Set up a blast campaign to send based on time in status and filter recipients based on check-ins (example: send to all active members only if they've checked in greater than 10 times between 1 and 30 days ago)
